Private ChatGPT for business: what your options really are

Your team wants ChatGPT. Your clients want their data protected. Here is a plain comparison of the three ways businesses use AI with confidential information, and when each one makes sense.

The short answer

General AI assistants are excellent for writing and brainstorming. They are a poor fit for questions whose answers live in your own contracts, policies and client records, and they process everything on the vendor's servers. Businesses with confidential data usually end up with one of three setups, or a mix of them.

Option 1: A business plan of a public AI assistant

Business and enterprise tiers of the mainstream assistants give each employee a capable general model. Their terms generally exclude your conversations from model training by default, although you should confirm the current terms for the exact plan you buy.

  • Good for: drafting, summarizing, brainstorming and general questions.
  • Watch for: data is processed on the vendor's cloud, answers are not grounded in your own files unless you set that up, and pricing is per user.

Option 2: A private assistant over your own documents

A private AI assistant indexes the documents you approve, such as policies, contracts, manuals and listings, and answers only from them, with the source shown. It runs on your domain, behind your sign in, with access by team. This is what our Zero-Trust AI Databank does.

  • Good for: internal knowledge, customer service, sales and inventory search, and any question where the answer must match your records.
  • Watch for: it is focused on your knowledge rather than being a general writing tool, and the quality depends on keeping the approved documents current.

Option 3: A self hosted model on your own infrastructure

Open models can run entirely inside your cloud account or on your own servers, even without an internet connection. Nothing leaves your environment.

  • Good for: regulated or highly sensitive work, and organizations that must keep data on premises.
  • Watch for: hardware and operations cost, and the need for someone to patch, monitor and update the system.

What about personal AI agents?

A newer kind of assistant goes further than chat. You text it, and it uses your email, calendar, browser and online accounts to get things done: booking travel, paying bills, replying to messages. These agents are built for one person's errands, not for a company's confidential information.

  • Good for: personal errands and life admin.
  • Watch for: access to everything that person can see, including work email and client messages. Consumer terms often let the vendor train on your data, act on your behalf and leave you responsible for its mistakes, and the company has no say in what is collected.

How to choose

  • If people mostly need help writing, a business AI plan is usually enough.
  • If people keep asking questions whose answers are in your own files, add a private assistant over those files.
  • If your clients, regulators or contracts require data to stay on your premises, use a self hosted model, with retrieval over your documents.
  • If staff want a personal AI agent for their own errands, keep it off work email and client accounts, and write that into your AI policy.
